Acoustic Camp 2026 is a 2-day acoustic music & community camping event bringing together music, games, shared meals, and meaningful connection.
We are recruiting volunteers and team leads to help organize and run this experience.
📌 Event Overview
- Participants: ~70 people
- Organizing Team: ~15 volunteers
- Format: Camping • Acoustic Performances • Games • Shared Meals
- Audience: Vietnamese youth & young adults (19+)
🧩 Volunteer Roles & Time Commitment
⏱️ Hour estimates include planning meetings, preparation work, event days, and post-event wrap-up.
🎤 Performance & Stage Team
🔹 Team Lead (1–2 people)
Estimated Commitment: 25–30 hours
Breakdown:
- Pre-event planning & meetings: 10–12 hrs
- Performance schedule, games & run-of-show planning: 6–8 hrs
- Event setup, rehearsal & live coordination: 8–10 hrs
Responsibilities:
- Lead performance planning and stage flow
- Coordinate performers, MCs, and games
- Manage on-site stage operations
🔹 Team Member
Estimated Commitment: 15–18 hours
Breakdown:
- Meetings & prep support: 5–6 hrs
- Event execution & support: 10–12 hrs
Responsibilities:
- Assist with stage setup and transitions
- Support performers and games
- Help maintain energy and flow during the show
🏕️ Logistics & Food Team
🔹 Team Lead (1–2 people)
Estimated Commitment: 22–26 hours
Breakdown:
- Logistics planning & coordination: 8–10 hrs
- Food planning & meal-game preparation: 6–8 hrs
- Event setup, execution & teardown: 8–10 hrs
Responsibilities:
- Coordinate logistics, supplies, and equipment
- Oversee food planning and meal-based games
- Ensure smooth campsite operations
🔹 Team Member
Estimated Commitment: 14–18 hours
Breakdown:
- Prep & coordination: 4–6 hrs
- Event support & cleanup: 10–12 hrs
Responsibilities:
- Assist with setup and logistics
- Support meal preparation and food activities
- Help with cleanup and organization
📸 Media Team
🔹 Team Lead (1 person)
Estimated Commitment: 20–24 hours
Breakdown:
- Shot planning & coordination: 5–6 hrs
- Event photography/videography: 10–12 hrs
- Post-event media selection & delivery: 5–6 hrs
Responsibilities:
- Plan media coverage
- Lead on-site media capture
- Coordinate post-event content for VVF
🔹 Team Member
Estimated Commitment: 12–16 hours
Breakdown:
- Prep & coordination: 3–4 hrs
- Event shooting & support: 9–12 hrs
Responsibilities:
- Capture photos/videos during the event
Support behind-the-scenes documentation
💰 Finance Coordinator (1 position)
Estimated Commitment: 15–18 hours
Breakdown:
- Budget planning & tracking: 6–8 hrs
- Expense reconciliation & reporting: 6–8 hrs
- Post-event financial summary: 3–4 hrs
Responsibilities:
- Track expenses and reimbursements
- Support transparent financial reporting
- Work closely with the Project Manager
🤝 Client Coordinator (1 position)
Estimated Commitment: 18–22 hours
Breakdown:
- Pre-event communication & registration support: 6–8 hrs
- On-site participant coordination: 8–10 hrs
- Post-event follow-ups: 4 hrs
Responsibilities:
- Communicate with participants
- Handle questions and on-site support
- Ensure smooth participant experience
